How to choose a POS system for your shop in Sri Lanka: 9 questions to ask

Before you pay for any POS software, ask these nine questions. A practical checklist for grocery shops, pharmacies, restaurants and hardware stores.

Choosing a POS (point of sale) system is a decision you will live with for years. Your staff learn it, your product list lives in it and your sales history builds up inside it. These nine questions help you compare options fairly, whichever system you end up choosing.

1. Does it keep billing when the internet drops?

Power cuts and weak connections are a fact of life. Ask the vendor to show you what happens to a sale made while offline, and whether it syncs by itself afterwards. A system that stops at the counter costs you customers.

2. What hardware do you really need?

Many shops pay for a desktop PC, a monitor and a scanner before selling a single item. Ask whether the software runs on the phone, tablet or computer you already own, and whether a phone camera can scan barcodes. A receipt printer and scanner can come later.

3. Can it handle the way you actually sell?

  • A grocery shop sells loose items by weight as well as packs.
  • A pharmacy needs batch numbers and expiry dates.
  • A hardware shop buys by the box and sells by the piece.
  • A clothing shop has sizes and colours.

If the demo only shows a simple "scan and pay" flow, ask to see your own kind of product.

4. Does it fit Sri Lankan business needs?

Check for pricing and invoices in LKR, VAT-ready invoices, cheque tracking and customer credit, which many local shops rely on. If you employ staff, ask whether EPF, ETF and PAYE are handled in the same system.

5. How easily can you get your data in and out?

You probably have your products in a spreadsheet already. Ask how they get imported, who does it, and whether you can export your sales and stock any time. Your data should never be held hostage.

6. What happens as you grow?

Today it is one counter. Next year it may be two branches. Ask what changes in price and features when you add a branch, a user or more products, and whether you can switch on extra features later instead of paying for everything up front.

7. Is the price clear?

Ask for the full monthly price in LKR, any setup fee, what hardware costs, and what is limited on each plan (users, branches, products). Be wary of prices that depend on "call us".

8. Who helps when something goes wrong?

Ask how support works: a person on WhatsApp or the phone, in the language your staff speak, in your timezone. Software is only as good as the help behind it.

9. Is your data backed up and safe?

Ask where your data is stored, how often it is backed up, and who can see it. Your sales history is your business record.
